Overview
We are seeking a detail-oriented and experienced Legal Coordinator with a background in litigation and/or administrative law to join our Prohibited Action Complaints department at our head office in Richmond.
In this role, you will be responsible for the management, coordination, and processing of complaints, ensuring timely, accurate, and consistent support to our legal and investigative teams. You will work closely with internal counsel, investigators, and external stakeholders to facilitate case management from intake to resolution.

What You’ll Do
Case Coordination & File Management

Manage intake, tracking, and processing of prohibited action complaints

Maintain accurate and organized legal case files (physical and electronic)

Monitor case timelines and ensure all deadlines are met

Prepare, review, and distribute legal correspondence, notices, and procedural documents
Legal & Administrative Support

Assist with drafting affidavits, submissions, and evidence summaries

Coordinate case-related meetings, hearings, mediations, and interviews
-
Support counsel and investigators with research, documentation, and case preparation

Ensure records are maintained in compliance with legislation and internal policies
Stakeholder Communication

Serve as the primary point of contact for complainants, respondents, legal representatives, and internal staff

Provide updates on case status while maintaining confidentiality and professionalism

Respond to inquiries regarding procedures, timelines, and documentation requirements
Compliance & Reporting

Support the department with statistical tracking and reporting requirements

Ensure all case processes align with applicable legislation, administrative law principles, and procedural fairness

Identify areas to improve workflow efficiency and recommend procedural enhancements
What You Bring

Post-secondary education in legal studies, paralegal training, or a related field
-
Experience in litigation, administrative law, or tribunal environments
-
Strong understanding of procedural fairness and legal processes

Exceptional attention to detail and organizational skills

Excellent written and verbal communication abilities

Ability to manage multiple cases and competing deadlines

Proficiency with legal case management systems and Microsoft Office Suite

High level of professionalism, confidentiality, and sound judgment
