Key Responsibilities
Administrative & Clerical Support

Provide administrative assistance to the Cardiac Sciences Access Office team

Manage referrals, patient records, and documentation with accuracy and confidentiality
-
Prepare correspondence, reports, and data entry for clinical and administrative processes
-
Maintain filing systems, electronic records, and office organization
Scheduling & Coordination
-
Schedule patient appointments for cardiac diagnostic tests, specialist consultations, and procedures
-
Communicate with patients, families, physicians, and external care providers regarding appointment details
-
Assist in managing waitlists and prioritizing patient access according to clinical urgency
-
Coordinate with various hospital units to support timely patient flow
Communication & Customer Service

Deliver professional, compassionate service to patients and families
-
Respond to inquiries by phone, email, or in person
-
Support clinicians, nurses, and allied health staff with timely information
Data Management
-
Enter, update, and verify information in hospital systems
-
Maintain accurate logs, reports, and tracking metrics
-
Support data integrity and patient safety initiatives
Qualifications
-
Completion of a recognized administrative, clerical, or medical office assistant program preferred
-
Previous experience in healthcare administration or a clinical support role considered an asset
-
Strong organizational skills with the ability to multitask and prioritize

Excellent communication skills — verbal and written
-
Proficiency with computer systems, data entry, and electronic medical record platforms
-
Demonstrated ability to maintain confidentiality and professionalism at all times

Ability to work collaboratively within a multidisciplinary team
