Responsibilities
- Generate and distribute customer invoices and account statements accurately and on time.
- Apply customer payments, including cheques, credit card transactions, and electronic fund transfers, to the correct accounts.
- Maintain accurate customer records, including
updating payment terms, billing details, and contact information.
- Assist in processing credit memos, refunds, and
approved account adjustments.
- Support daily cash application and basic customer
account reconciliations.
- Review aging reports regularly to identify overdue
accounts.
- Conduct initial collections outreach via email and
phone in a professional and courteous manner.
- Follow up consistently on past-due balances
according to established company procedures.
- Document all collection activities and customer
communications in the accounting system.
- Escalate complex or high-risk accounts to the
Controller or senior finance team as required.
- Work collaboratively with Sales and Customer Service
teams to resolve billing disputes or payment issues.
- Assist in monitoring credit limits and flag accounts
that may require review.
- Provide accounts payable backup (when needed)
including processing supplier invoices and weekly payments
- Support the month-end close process by assisting
with AR reconciliations and revenue reporting.
- Provide general administrative support to the accounting department as required.
