Operations and Office Coordinator

Duties
- Oversee
daily office operations including front desk management, multi-line phone
systems, email correspondence, and calendar coordination
- Assist
with guard scheduling, shift confirmations, attendance monitoring, and
deployment tracking
- Coordinate
dispatch communications between guards, supervisors, and management
- Maintain
operational logs, deployment sheets, and internal reporting documentation
- Support
payroll preparation through timesheet tracking and attendance verification
- Handle
human resources functions including employee onboarding, file management,
compliance documentation, and recruitment coordination
- Track
uniform issuance, equipment inventory, and supply management
- Support
proposal documentation and administrative reporting for leadership
- Manage
vendor relationships and assist with procurement processes
- Maintain
organized digital and physical filing systems to ensure audit readiness
- Support
incident reporting documentation and internal compliance procedures
Experience
- Minimum
2 years experience in office administration, operations coordination, or
security industry support roles
- Previous
dispatch or scheduling experience preferred
- Experience
with HR functions including onboarding, payroll preparation support, and
employee documentation
- Strong
proficiency in Microsoft Office (Excel required); familiarity with
QuickBooks considered an asset
- Demonstrated
ability to multitask in a fast-paced, deadline-driven environment
- Strong
organizational and communication skills
- Professional
phone etiquette and ability to manage multi-line systems
- Security
industry experience strongly preferred
- Supervisory or team coordination experience considered an asset
