Key Responsibilities
- Oversee
and manage daily office operations, scheduling, and service coordination
- Act
as a central point of contact between management, technicians, vendors,
and clients
- Manage
high-volume phone and email communications with professionalism and
discretion
- Coordinate
technician schedules, dispatching, service updates, and follow-ups
- Maintain
accurate CRM records, operational documentation, and internal reporting
- Support
invoicing, billing, payroll-related data, and QuickBooks coordination
- Identify
workflow inefficiencies and lead process improvement initiatives
- Provide
guidance and structure to administrative systems and procedures
- Support
leadership with reporting, planning, and operational decision-making
Qualifications & Skills
- 3–5+
years of experience in senior administrative, operations, or office
management roles
- Strong
organizational skills with excellent attention to detail and
follow-through
- Proven
ability to work independently and manage competing priorities
- Professional
written and verbal communication skills
- High
level of discretion, reliability, and accountability
- Proficiency
with Microsoft Office & Google Workspace
- Experience
with CRM systems, scheduling/dispatch software, and QuickBooks Online
- Comfortable
contributing ideas, leading improvements, and taking ownership of systems
- Calm, solutions-focused mindset in a fast-paced service environment
