Project scheduling & Coordination

  • Schedule installation jobs in coordination with sales, and technicians

  • Communicate job timelines, locations, and expectations to all involved parties

  • Adjust schedules due to delays (weather, parts, etc.) and proactively notify customers

  • Manage multiple ongoing projects and keep track of deadlines

Customer Communication

  • Serve as a main point of contact for customers during the project lifecycle

  • Provide updates on job status, delivery timelines, and technician arrival times

  • Address customer questions or concerns and escalate issues when needed

  • Ensure all customer-specific requirements or preferences are documented clearly

Materials & Inventory Tracking

  • Coordinate ordering and delivery of doors, openers, hardware, and accessories

  • Ensure all materials are available prior to scheduled installation

  • Track special orders and communicate with vendors for lead times or delays

  • Work with warehouse staff to stage materials per project

Documentation & Administration

  • Maintain accurate records for each job including quotes, work orders, and inspection checklists in project management software

  • Prepare project folders or digital job packets for installation crews

  • Track project milestones and update the project management software

  • Ensure warranty paperwork, photos, and final sign-offs are collected and filed

Team Coordination

  • Liaise between sales, installation, service techs, and office staff to ensure everyone is aligned

  • Participate in project kickoff and review meetings

  • Ensure technicians have the necessary information, tools, and access for each job site

  • Help resolve scheduling conflicts or incomplete job follow-ups

Qualifications:

  • 2+ years in project coordination, customer service, or operations (construction or home services preferred)

  • Familiarity with garage door systems, hardware, and terminology (a plus)

  • Strong organizational and multitasking skills

  • Proficiency in scheduling, CRM, or project management tools

  • Excellent verbal and written communication

  • Ability to remain calm and professional under pressure

  • Attention to detail and multitasking abilities.

Typical Tools Used:

  • CRM or job management software (e.g., Housecall Pro, Jobber, ServiceTitan)

  • Microsoft Excel,Access,Word

  • PDF Editor

  • Inventory/order tracking platforms

  • Basic knowledge of garage door parts and models

Work Environment:
Office setting, in a small business environment Family owned and operated in newly renovated office/showroom building in a growing business with two divisions in house and with 8 full time office staff and 10 field vehicles. Work may involve extended hours during busy periods or tight deadlines.
