Job Responsibilities

  • Maintain strict confidentiality of client, employee, and business information in alignment with legal and ethical standards
  • Generate and manage weekly and monthly invoices with exceptional attention to accuracy and detail
  • Perform timely and precise reconciliation of client accounts
  • Oversee and maintain accounts receivable records, ensuring timely follow-up on outstanding payments
  • Assist in the development and refinement of administrative and financial processes to enhance efficiency
  • Apply a methodical and organized approach to managing client accounts, each with unique requirements
  • Communicate with clients in a professional, courteous, and responsive manner
  • Collaborate effectively with various internal departments to ensure seamless service delivery
  • Verify employee hours and ensure proper documentation is submitted for payroll and reporting purposes
  • Complete ad-hoc administrative and financial tasks as assigned by leadership
  • Report directly to the Clinical Director
  • Work independently and as part of a team to meet operational and invoicing timelines
  • Provide assistance to families navigating funding guidelines and deadlines

Education and Experience

  • Minimum diploma in Business, Accounting, or related field
  • At least 3 years of hands-on experience in accounts receivable and administrative support
  • Proficient computer skills with strong working knowledge of MS Word, QuickBooks Online, and Excel
  • Excellent communication skills, both written and verbal
  • Strong attention to detail and ability to meet deadlines under pressure
  • Excellent customer service orientation and interpersonal capabilities
  • Clear and current Police Background Check (required)
