Key Responsibilities:

Scheduling & Coordination

  • Schedule and coordinate caregiver shifts in alignment with client care plans and assessment recommendations.
  • Ensure timely and accurate scheduling of new clients, reassessments, promise calls, and introductions between clients and caregivers.
  • Manage last-minute scheduling changes, cancellations, and sick calls with professionalism and urgency.
  • Ensure consistent caregiver-client continuity whenever possible.

Communication & Customer Service

  • Serve as a primary point of contact for caregivers and clients regarding scheduling needs.
  • Answer incoming phone calls and respond to emails promptly and professionally.
  • Provide outstanding customer service by problem-solving and addressing concerns from clients, families, and staff.
  • Communicate clearly and empathetically with clients, caregivers, and healthcare partners.

Operational Support

  • Collaborate with the recruitment team to ensure adequate staffing levels for current and future scheduling demands.
  • Maintain accurate and up-to-date scheduling and operational spreadsheets (e.g., New Client Tracking, Daily Driver).
  • Perform regular audits of caregiver and client profiles to ensure data integrity.
  • Process caregiver timecards, audit for accuracy, and assist with payroll preparation.

Caregiver Support & Coaching

  • Provide coaching and performance feedback to caregivers as needed.
  • Facilitate introductions between caregivers and clients, conduct spot checks, and deliver PPE or uniforms as required.
  • Act as a positive role model and promote Senior Helpers’ values and standards.

Qualifications:

  • Minimum 1 year of experience in healthcare scheduling, home care, or a related administrative role.
  • Strong organizational skills and ability to prioritize in a fast-paced environment.
  • Demonstrated ability to multi-task, problem-solve, and make decisions independently.
  • Excellent verbal and written communication skills, especially over the phone.
  • Exceptional customer service skills with a friendly, solution-oriented approach.
  • High proficiency in Microsoft Office (Outlook, Word, Excel); experience with Wellsky scheduling software preferred.
  • Ability to maintain confidentiality and use sound judgment.
