Duties and Responsibilities:
- Financial
Administration and Transactions
- Process
accounts payable and receivable, including payment of invoices and proper
recording of revenue.
- Complete
payables in an accurate and timely manner.
- Prepare
and process payroll, including deductions, benefits, and tax deductions.
- Handle
bank deposits and reconciliations.
- Create
and enter month-end and year-end adjusting entries.
- Perform
accurate filing of financial reports, including HST rebate requests.
- Monitor
restricted vs. unrestricted funds.
- Monitor
chart of accounts and identify items that require attention
- Track
and report on program budgets and expenditures.
- Support
cash-handling procedures for programs and events.
- Provide
training, direction, and ongoing support to administrative staff who
support with finance-related tasks.
- Work
closely with the Housing Coordinator and Director of Development to ensure
compliant and accurate tracking of rents, capital expenditures, and
interorganizational projects.
- Provide
training, supervision and support to placement students as required.
- Financial
Reporting and Analysis
- Prepare
financial statements and reports as needed and provide insight into
trends, opportunities, and potential risks.
- Review
grant agreements and budgets and collaborate with program coordinators to
track spending.
- Manage
cash flow by tracking income and expenses, and providing insight and
recommendations to support long-term financial planning.
- Provide
up-to-date monthly financial statements for the Finance Committee, in
collaboration with the Board Treasurer.
- Budgeting
and Financial Planning
- Assist
in development and monitoring of the annual budget, in collaboration with
the Executive Director, the Finance and Operations Manager, and program
coordinators.
- Flag
gaps and challenges during budget season that were missed in the previous
year, and provide recommendations on how to integrate these into the
upcoming budget process.
- Utilize
OCP’s vision, mission, and values when providing budgeting and planning
feedback.
- Compliance,
Audit, and Controls
- Ensure
compliance with all audit requirements and assist during the annual audit
by providing required documents.
- Ensure
compliance with CRA charity requirements.
- Maintain
internal controls and support improvements to financial policies.
- Ensure
compliance with payroll legislation and remittances.
- Systems
& Record Management
- Maintain
and improve financial systems and software, including QuickBooks Online
and various spreadsheets and tracking tools.
- Maintain
and improve filing system of financial documentation
- Participate
in Management Visioning and Collaboration.
- Participate
in staff meetings, trainings, and retreats as required and as a part of
the management team, contribute to visioning, leadership, and
decision-making of the Administrative team and the organization as a
whole.
- Collaborate
with other OCP programs to improve policies and procedures, develop
intraorganizational effectiveness, and increase support opportunities for
staff, and individuals eligible for OCP programming.
- Engage
in ongoing learning and professional development, and modify program
operations accordingly, to ensure maximum effectiveness and alignment with
OCP mission and values.
- Learn
and integrate decarceral, restorative justice, and transformative justice
practices into policies and procedures.
Qualifications:
- Commitment
to the mission and values of One City Peterborough
- Ability
to make decisions effectively and work autonomously
- Strong
administrative skills including time management, scheduling, and
organization
- Proficient
with computers and digital technology
- Demonstrated
financial experience in the not-for-profit sector
- Proficiency
with current bookkeeping practices
- Proficiency
with accounting software, particularly Quickbooks Online
- Strong
organizational skills and attention to detail
- College
or university degree in related field is an asset
- Sound
judgment and the ability to work independently and as part of a team
- Well
organized, with a proven ability to meet deadlines
- Ability
to problem solve and seek guidance when issues arise
- Strong
written and verbal communication skills
- A
