Administrative duties and responsibilities

  • Filing important documents, such as reports, meeting notes, emails, and letters
  • Processing and filing invoices
  • Overseeing office supplies and services, including restocking supplies or creating important office forms
  • Entering data in company bookkeeping software
  • Aiding correspondence for the office, such as emails, letters, packages, and phone calls
  • Ensuring availability to help colleagues and employees where necessary
  • Perform telephone reception tasks if necessary
  • Correspond with Vendors when called upon
  • Receive goods from carrier (ensuring packing slip accuracy) and upload into IT system
  • Manage all documentation for return goods to vendors and from dealers
  • Physical inventory counts
  • Support outbound product movement
  • Manage in/outbound goods (inclusive of documentation) from service dept.
  • Other duties and responsibilities as necessary

Administrative skills and qualifications

  • Successful candidate should have a minimum of two years experience in this type of position
  • The successful candidate should have a minimum of high school diploma. Post secondary diploma completion is preferred.
  • Working knowledge/experience using accounting software
  • Organizational skills to manage multiple tasks at one time.
  • Proficient in MS Office Suite and Google Workspace apps
  • Communication skills; having a pleasant demeanor and the ability to work with various types of personalities within an office setting
  • Attention to detail to submit work or send communications without error
  • Adaptability and flexibility to adjust priorities for whatever task is most important at any given time
  • Ability to handle sensitive information
  • Strong interpersonal skills with the ability to build effective working relationships with all levels of an organization and with external partner businesses
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Team player, willing and able to adapt to change
